Billing & Financial Policies
Clementine ABA’s billing practices are designed to keep financial expectations clear so families can stay focused on clinical progress. The policies below define how insurance coordination, payment processing, and outstanding balances are handled for every family enrolled in Applied Behavior Analysis services.
Insurance & Authorizations
Clementine ABA is in-network with Medicaid and most commercial payers, but final coverage decisions rest with each plan and are subject to change without notice. Families are fully responsible for providing accurate, current insurance information, securing all required referrals, and ensuring that prior authorizations remain valid throughout treatment. Any lapse, denial, downgrade, or change in coverage must be reported to Clementine ABA in writing without delay; the family will remain financially responsible for any charges incurred during gaps in coverage that were not promptly disclosed.
Copays, Coinsurance, and Deductibles
All copays, coinsurance, deductibles, and other patient-responsibility amounts determined by your insurer are due at the time of service. By enrolling, you authorize Clementine ABA to retain a valid payment method on file and to charge that method for any patient-responsibility balances once claims have been adjudicated. Charges remain valid and enforceable regardless of any subsequent insurance dispute or appeal.
Private Pay Accounts
Families without insurance coverage, or those receiving services not covered by their plan, will be billed directly according to the rates set forth in their signed service agreement. Private-pay invoices must be paid in advance of each scheduled session unless a written, executed payment plan is on file. Clementine ABA reserves the right to suspend, decline, or terminate services for any unpaid balance at its sole discretion.
Outstanding Balances
Invoices are due within thirty (30) days of issuance. Balances unpaid after sixty (60) days are considered delinquent and may, at Clementine ABA’s discretion, trigger immediate suspension of services until satisfactory payment arrangements are made. Delinquent accounts may accrue late fees and interest to the maximum extent permitted by applicable law, and may be referred to a third-party collections agency or legal counsel; in any such event, the responsible party agrees to pay all associated collection costs, reasonable attorneys’ fees, court costs, and accrued interest in addition to the underlying balance.
